Web Services such as SOAP take center stage when it comes to advancing the Internet as an infrastructure for cross-company applications or as a solution for integrating internal applications (Enterprise Application Integration – EAI). Web Services make it possible to implement both closed applications as well as services available worldwide. These can be either accessed directly by the user or integrated into new systems. Thus they provide the technical basis for the Service Oriented Architectures (SOA), in which applications can be created potentially from services available worldwide.

In COI-BusinessFlow 4X, the SOAP interface is used more and more for the integration with other products and as an communication protocol of the internal system components. This interface is gaining increasing importance as a future-proof communication center between internal and external processes. The topic of SOAP, respectively Web Services, as a basis for Service Oriented Architectures will become more important in the ECM field.

The new SOAP server is a strategic development of COI for both existing and new customers who have chosen – or will choose – the COI-BusinessFlow 4X product line.

The adoption of the SOAP protocol reduces development times and improves the solution's serviceability. Today, functions such as e-mail-archiving for Microsoft Exchange, Novell GroupWise, or Lotus Notes as well as connection to ERP systems, for example Navision, are incorporated via SOAP. As the SOAP interface can be easily and quickly expanded, our customers can continue to react flexibly to new technical requirements in the future.

The BARC once again enabled potential buyers of DMS and ECM solutions the unique opportunity to directly compare providers of document management and archiving systems.

The two-day conference offered participants a clear market review based on the proven BARC criteria. In June at the Festung Marienburg in Würzburg, ten exhibitors presented their ECM solutions in live demos and highlighted the advantages of their tools in comparison to competitive products.

All providers demonstrated their solution based on the structure defined by BARC. The goal of the event was to clearly show the differences of the software providers regarding the offered strategy and solution in this market segment and to provide – compact in time and location – decision guidance in evaluating the software products.

New entrant: Walter Koch is COI´s new Product Development Manager

As of October, Walter Koch is the new Product Development Manager at COI. After graduating in computer sciences from the University of Erlangen and the university of applied sciences in Nuremberg, Walter Koch started his professional career as a software developer in the field of internet and multimedia. At that time, he made first contact with themes such as data modeling, Business Intelligence, and Workflow Management.

He was involved early on in project direction for data warehousing and Business Process Management, which he managed impressively. His further occupational steps include head of development and branch manager in various companies. We are happy that he will contribute the experience he has gained.

Addition to the Family: CAM Systems GmbH – The New Sister Company

The CERTINA IT AG, subsidiary of the CERTINA Holding AG, Munich, acquired the Munich-based aerospace supplier CAM GmbH from its former French parent company CS this summer. The new sister company of the COI GmbH is an expert for product lifecycle and test management as well as for customized aerospace software. Its new name: CAM Systems GmbH.

Aside from MAQSIMA acquired it 2006 (with its expertise in technical security management and medical engineering), and COI, CAM Systems is now the third company from the IT sector to be integrated in the CERTINA group. From now on COI, with its products Xtrend and 4X, will supply the technology platform, along with its sister company MAQSIMA.

Pooled workflow know-how: IQ-optimize and COI jointly develop solution for Business Process Management

Herzogenaurach/Maintal 21 September 2007 – the IQ-optimize Software AG, a technology provider for business process management and workflow management, and the COI GmbH have started a close cooperation. The COI GmbH provides innovative systems for archiving, document management, and workflow management. The two cooperation partners pool their resources to improve both their customers´ business processes and workflows – even across company borders.

With this cooperation, the new partners are now well prepared for the increasing requirements when implementing individual business processes and realizing economic benefits.

"Everybody talks about it, but only few enterprises have moved true business process management to the top of their priority list," says Dirk Stehr, the IQ-optimize Software AG´s sales manager.

The partnership of the two companies is to be gradually extended by certifications and joint development of business process solutions. "The companies´ software products and specialized know-how match perfectly", explains Andreas Schwarze, the COI GmbH´s managing director.

The partners will focus their collaboration on optimizing business process and workflow automation for the automotive industry, banks and financial services as well as the pharmaceutical industry.

Herzogenaurach 13 August 2007– Bayer Business Services, the Bayer Group's international competence center for IT-based services, is extending its workflow and archiving system YOUR-DOCes® worldwide. The corporation is thus expanding its licence for COI-BusinessFlow 4X, COI's client-server-solution for electronical archiving, document management und workflow management.

Bayer Business Services has been successfully using the software made by COI in Herzogenaurach for almost ten years. It is part of the workflow and archiving system YOUR-DOCes used by Bayer – amongst other things – for processing invoices. Expanding the COI-BusinessFlow 4X licence enables Bayer Business Services to implement YOUR-DOCes all over the world, creating a company-wide standard for invoice processing even across system boundary.

Using COI-BusinessFlow enables YOUR-DOCes to supply documents from archives and ERP systems of Bayer's IT environment for auditing of accounts. This allows the group to control invoices in a companywide manner and the user to conveniently work with a familiar user interface.

Within the scope of the recently extended Platinum Sponsoring of the GroupWise and Friends Community, COI participated in these important annual events and presented the integration of COI-BusinessFlow Xtrend with Novell GroupWise "COI-BusinessArchive for GroupWise".

With COI-BusinessArchive for GroupWise COI offers a standardized solution for the central archiving of GroupWise information. This solution fully integrates with the IT infrastructure and files business-relevant data centrally to the server. The staff is supported in the daily routine by this compliance solution, have no additional work and can still query their messages individually from the archive. With this integration the user is actively supported and the obligation to produce supporting documents is likewise covered.

Among other things, the visitors were able to listen to a number of top international speakers on the subject of GroupWise, for example Phil Karren, one of the two product managers for Novell GroupWise active worldwide. He introduced the new version of GroupWise (also known under the code name Bonsai) which will appear at the end of the year. There was also a preview of the integration of Sitescape and future versions of GroupWise.



The University of Regensburg uses COI-BusinessArchive for GroupWise to archive its e-mails

Herzogenaurach 5 July 2007 – After an intensive evaluation process regarding e-mail archiving software, the University of Regensburg chose the COI GmbH from Herzogenaurach. Following a successful test phase, the COI-BusinessFlow for GroupWise system has been running live with 2,500 users for several weeks.

Facing a flood of e-mails along with ever greater pressure by the legislator, the University of Regensburg was forced to reduce the load on its e-mail servers while archiving its e-mails in a law-compliant manner. Thus a software selection process was initiated to compare and evaluate individual archiving solutions for Novell GroupWise elements. Next, a software test phase of several weeks followed – involving two of the five providers – under real-live conditions with the COI GmbH emerging as the winner.

The e-mail archiving solution COI-BusinessArchive for GroupWise is based on the COI-BusinessFlow Xtrend product line and belongs to the Xtechnology family of the software developer from Herzogenaurach. Aside from archiving, COI-BusinessArchive for GroupWise allows: The direct tracing of business transactions, the discontinuation of local inaccessible storage, the filing of e-mails in context with documents and files, the protection from information loss, the long-term storage of
e-mails as well as complying with juridical requirements by audit-proof long-term archiving.

A primary project goal of the University of Regensburg's computer center was to file business-relevant information centrally on the server by automated archiving but still allow individual employees to search their e-mails while taking into account the obligation to produce supporting documents.

"A decisive factor for COI was that employees are supported by the compliance solution in their everyday work. Above all, the software should not generate additional operating expenses for archiving and enable the employees to easily handle the system. Besides, each employee must still be allowed to search his messages individually within the archive. Here too, COI was able to convince with its intuitive BusinessArchive for GroupWise." Mr. Martin Wimmer, Director of the computer center at the University of Regensburg on the selection criteria for the e-mail implementation.

In the course of this positive project run the University of Regensburg's computer center and the COI GmbH announced a close collaboration for the future. The goal of this development partnership is to further enhance the standardized solution for the integration in Novell GroupWise.

Certified Connection of COI-BusinessFlow Xtrend to HP RISS

On the one hand business data must be kept safe over long periods of time; on the other hand these large amounts of data shall be available for quick and eays acces when required. Customers can bridge this gap with the combined solutions of HP and COI GmbH. COI-BusinessFlow Xtrend has now been certified by HP for StorageWorks Reference Information Storage System (RISS).

Xtrend is an efficient document management and archiving solution. It enables a centralized integration of data, application and process among different platforms and heterogeneous IT systems. Thus, businesses now profit from the comprehensive and law-conform solutions for the Information Lifecycle Management (ILM).


Open Interfaces – Smooth Integration

The connecting interface of COI-BusinessFlow Xtrend to HP StorageWorks RISS was tested comprehensively upon its certification. The result of these test was that an integration of both solutions is possible by an API and a file interface open to and supported by both systems. Furthermore, the certificate confirms the solutions productive operability. Customers are now able to organize their business data, such as SAP data, e-mails or file server documents, beyond company borders and in a platform-independent way. HP StorageWorks RISS serves as an efficient storage infrastructure for the data managed by COI-BusinessFlow Xtrend. Users have access to all required data and documents at any time, while administration overhead and costs drop by use of HP StorageWorks RISS.

The DMS, Europe's leading professional trade fair and conference for electronic information, content and document management, takes place this year for the first time in Cologne. For its 10th anniversary the DMS EXPO has moved from Essen to Cologne. COI can also be found at koelnmesse, in hall 8, hallway G, stand 061.

COI will introduce the newest COI-BusinessFlow developments. These include enhancements for the integration in groupware systems, the extension and integration of the search and classification technology Xfind into the enterprise content management environment and new packages to be introduced during the DMS for the first time.

As of March 2006 Andreas Schwarze has taken over responsibility as a new managing director of COI GmbH. Andreas Schwarz was previously active as a director of sales at ITESOFT Deutschland GmbH, one of Europe's market leaders for the automated recording and processing of documents. He brings along extensive experience from the area of document recognition and process optimization.



COI licences ABBYY FineReader

ABBYY Europe, a member of the ABBYY Group and a leading provider of document recognition and linguistic technologies, today announced that COI, Consulting for Office and Information Management Ltd, has licenced the ABBYY FineReader Engine product. COI, which specialises in solutions for archiving, document and workflow management, has integrated the ABBYY's OCR technology into their new product COI Intelliger.

The last sessions dealing with the topic Regulatory Affairs were very successful in Munich and Hamburg in February 2004 - especially with the issues CTD and [e]CTD.

Current trends in the field of regulatory requirements for computer validation are changing. When are computer systems subject to these regulations? Which consequences have these regulations? No pharmaceutical company can escape from the demands of 21 CFR Part 11. It is important for these companies not only to keep up-to-date with current requirements but to look at future trends.

The pharmaceutical industry has to consider the statutory obligations imposed by EU and US cGMP regulations in general, and specifically with regard to Traceability, Product Recall, Product Release and Adverse Event reporting. The widespread use of computerized systems throughout the industry means that the critical GMP functions are subject to regulatory requirements for qualification and validation. Forward thinking companies now plan for "risk management" of both their day-to-day operations, and as part of new products, process, engineering, or information systems development.

Review - COI at Systems 2004

For the first time the COI GmbH presented itself as an exhibitor at the SYSTEM in Munich, the leading Business-to-Business-Fair for information technology, telecommunications and new media.

In defiance of voices claiming that the SYSTEMS would´t be visited as well as previously and doesn´t offer a proper platform for the B2B sector, COI decided to participate in the SYSTEMS as an exhibitor.

Our stand was very well frequented and aside from the high number of the stand visitors the quality of these and of the conversations held was excellent. Our expectations were excelled! For COI this fair was an optimal basis for new business relations and for deepening existing contacts.

We presented solutions for Archiving / Records Management / Document Management / Information Lifecycle Management and Workflow / Business Process Management. All solutions such as the COI-BusinessFlow, the COI-Intelliger and the COI-PharmaSuite were shown with new functions, features and completely new modules.

Along with our partner Tomorrow Focus Technologies GmbH we have emphasized another area of the process support, Content Management.

COI´s conclusion regarding its first SYSTEMS participation:
For us it was a very successful fair and we will therefore take part again next year.
